  • Position specifics: Full time, direct hire position. This role is an "in-house" role and will not require travel as this company has "in-house" and "on-site" Project Managers. The successful candidate will be in routine communication with customers, design team, PMs and fabrication team. Full details to be provided at time of interview.

Job Description

The In-House Project Coordinator is an integral part of the pre-production and project management team and will lead, manage and coordinate the project process from award to post production.

Responsibilities to include, but not limited to the following:

  • Participating in project launch meetings, preparing schedule of values
  • Acting as liaison between company, customers, general contractors (distributing introduction letter and establishing direct relationships with clients for project design and manufacturing)
  • Preproduction management – continuous interaction with the customer and design/engineering department in preparation of shop drawings
  • Coordinating drawing revisions, sample submittals for paint colour, glass, and special products as the job requires
  • Purchasing / RFQ – ordering of materials, including special outsources products. Submitting RFQ back to project Estimator when scope changes dictate
  • Providing daily updates to the 4-month production forecasts
  • Documentation of all communications (e-mail, phone log, written).
  • Document Control in One Note, Project Tracker, Production archiving – approved shop drawings and archiving of prior versions
  • Complete as-built shop drawings, providing close out documentation, maintenance manual, LEED preparation, and performing pre-post project reviews
  • Performing daily problem solving with on-site Project Manager and Fabrication department
  • Working with outside structural engineers to maintain shop drawings
  • Reviewing contracts for risk management to the company
  • Other duties as assigned

Qualifications

  • Degree/Diploma in Architectural Technology / Construction Management
  • Minimum three (3) years of project management work experience
  • Solid ability to deliver projects on-time, on-budget, within specifications and in-compliance with all requirements
  • Solid ability to mitigate and manage project risks
  • Advanced ability to influence, persuade and negotiate to achieve desired outcomes
  • Advanced communication and interpersonal skills
  • A high degree of client service orientation
  • Ability to manage vendor relationships and performance
  • Possess a continuous improvement and quality mindset along with a desire to continuously seek and incorporate best practices and technologies in order to optimize project delivery and deliver value to the client
  • Computer proficiency in MS Office applications in particular - MS Project, Excel
