Job Description

The Office Assistant is responsible for the following, but not limited to:

  • Assisting with administrative functions for the entire facility and providing clerical support to the entire team
  • Preparing and maintaining work and purchase orders, inventory reports, memos and documents
  • Screening incoming emails, posting and forwarding them to appropriate contacts for replies, composing and distributing routine correspondence
  • Providing phone coverage to reception, as required
  • Maintaining sales paperwork and leads in the database – data entry functions
  • Assisting with completing weekly sales reports, etc
  • Ensuring high level of customer service and satisfaction is met with both internal and external customers
  • Maintaining office equipment and company office cleanliness
  • Assisting with cheque runs, day-to-day accounting functions as need be
  • Performing other duties as required.

Qualifications

  • Diploma in Business Administration a definite asset
  • Minimum two (2) years’ experience in a fast paced office environment
  • Manufacturing experience an asset
  • Must be computer literate with proficient in the use of Microsoft Office - most importantly Excel
  • Self motivated and proactive
  • Excellent verbal and written communication and interpersonal skills
  • Working cooperatively and effectively with others to set goals, resolve challenges and make decisions to enhance organizational effectiveness
  • Ability to undertake self-directed tasks when necessary
  • Excellent time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency; ability to develop a work schedule, set goals, create/implement action plans and monitor progress towards goals and the ability to make clear and timely decisions
