Job Description

The Administrative Assistant / Bookkeeper reports directly to the Senior Bookkeeper and is responsible for the following:

Administrative

  • Acting as a point of contact for clients and prospective clients, including greeting, listening to, empathizing with and otherwise communicating with clients and prospective clients
  • Responding to client inquiries about services
  • Booking clients into consultations, scheduling consultations and other meetings, updating firm’s calendar(s) and acting as a liaison between clients and lawyers
  • Entering client documentation into firm’s practice management software
  • Providing administrative assistant, such as writing and editing emails, drafting memos and preparing communications
  • Organizing and maintaining (ordering/stocking) of the office supplies
  • Maintaining comprehensive and accurate corporate records, documents and reports
  • Answering incoming phone calls in a polite and professional manner and accurately taking messages
  • Other administrative duties as assigned

Bookkeeping

  • Performing day-to-day accounting, bookkeeping duties
  • Accounts payables
  • Accounts Receivables
  • General ledger accounting
  • Daily entry of accounting transactions
  • Processing monthly and quarterly payments
  • Performing bank and account reconciliations for general and trust accounts
  • Preparing and filing of quarterly reports
  • Performing other ad hoc accounting functions as required

Qualifications

  • Degree or Diploma in Accounting, Business Administration or equivalent
  • Two (2) to three (3) years of relevant experience - both accounting and administrative
  • PC Law experience a definite asset
  • Legal experience an asset
  • Proven full-cycle bookkeeping experience
  • Solid understanding of basic bookkeeping and accounting payable/receivable principles
  • High regard for confidentiality
  • Data entry skills
  • Hands-on experience with spreadsheets and proprietary software
  • Excellent communication and financial analysis skills
  • Detail oriented with strong organizational skills
  • Must be team focused
